By using Mindloop, you agree to the practices described in this policy. The information we collect depends on which features of Mindloop you use. If you are subscribed to the Calling Agent, we collect the following limited personal information: your name and phone number, call metadata including the time, date, and duration of calls handled by Mindloop, and call transcripts generated by Mindloop during automated call handling. This information is used solely to deliver call handling, generate summaries, and send notifications to you.

If you upgrade to the Email Agent, you may optionally connect your Gmail account. With your explicit consent, Mindloop may read the content of your emails to generate intelligent summaries and contextual responses, draft email replies on your behalf for your review and approval, classify emails and organise them into folders, and filter spam and low-priority messages. We process email content exclusively to provide these features. We do not retain the content of your emails or drafts beyond the time necessary to complete the requested action. Your account information — such as your name and email address — may be stored to manage your subscription and service configuration. Our use of Gmail data fully complies with the Google API Services User Data Policy, including the Limited Use requirements.

We use the information we collect to deliver, operate, and improve the Mindloop service, to personalise your experience and tailor Mindloop's responses to your preferences, to communicate with you regarding your account, service updates, and support queries, and to ensure the security and integrity of our systems. We do not sell, rent, or share your personal data with third parties for commercial or marketing purposes. Your data is never used to train AI models without your explicit consent.

Protecting your data is a core priority at Mindloop. We employ industry-standard security measures to safeguard your information, including encryption of data in transit and at rest, strict access controls limiting who can access user data internally, and regular security audits and vulnerability assessments. We are actively working towards full SOC 2 Type II compliance. We are also developing end-to-end encryption for all call transcript data handled by Mindloop, so that only you can access the content of your calls. In the event of a data breach that affects your personal information, we will notify you promptly in accordance with applicable legal requirements.

We retain your personal data only for as long as necessary to provide the Mindloop service or as required by law. Call metadata and transcripts are retained for the duration of your active subscription, unless you request earlier deletion. Email content and drafts are processed in real time and not stored beyond the completion of the requested action. Account information is retained until you delete your account or request data deletion. Upon account deletion, we will remove your personal data from our systems within 30 days, except where retention is required by applicable law.

You have full control over your personal data. At any time, you may request access to the personal information we hold about you, request correction of any inaccurate or incomplete data, request deletion of your personal data, withdraw consent for Gmail or other integrations at any time via your account settings, or request that we restrict or stop processing your data. Mindloop integrates with third-party services to deliver its features — for example, telephony providers for call handling and Google APIs for email management. These integrations are governed by the respective third party's privacy policies. We only share the minimum data necessary to enable these integrations and do not permit third parties to use your data for their own purposes.

Mindloop is not intended for use by individuals under the age of 18. We do not knowingly collect personal information from minors. If you believe we have inadvertently collected information from a minor, please contact us immediately and we will take steps to delete it.

We may update this Privacy Policy from time to time to reflect changes in our practices or legal requirements. When we make material changes, we will notify you via WhatsApp, SMS, and email at least 14 days before the changes take effect. The updated policy will also be published on our website with a revised "Last Updated" date. Continued use of Mindloop after changes take effect constitutes your acceptance of the updated policy.
